Why do we need a privacy notice?
Data protection legislation requires us to be clear about how we handle your personal data. We need you to be informed and have reasonable choices about what data we hold and why. There is no charitable exemption in the law, and nor do we believe there should be, since the security of your data is equally important, no matter who holds it.
Personal Data and Our Website
We store submission data collected through contact forms, which may include the submitter’s personal information, in the database on the server that hosts the website.
Personal Data of Members
If you join the orchestra we will ask you to complete a form to give us your details. The form gives the reasons we collect your data, how we will use it, how long we will keep it and asks for your consent. We do not require any data from you that is not necessary to run the orchestra (apart from Gift Aid, see below), nor do we do not ask for any data in a special category (i.e. that is particularly sensitive).
Personal Data of Friends of the Orchestra
If you decide to become a Friend of the Orchestra we will ask you to complete a form to give us your details. The form gives the reasons we collect your data, how we will use it, how long we will keep it and asks for your consent. We only ask for data to manage your Friendship of the orchestra and we do not ask for any data in a special category.
Personal Data and Third Parties
We will never share your data with third parties without your knowledge and consent. We may use third-party web tools to process your data, but we are legally obliged to ensure these are compliant with relevant legislation. We will obtain your consent before we do this.
If you agree to us claiming Gift Aid on any money you donate to the orchestra then we need to keep certain information for a longer period than usual. This is in case of any challenge from HMRC and will be communicated to you when you consent to Gift Aid claims.
